Duty and shifts
Quantavist separates two ideas that work together:
| Concept | What it is |
|---|---|
| Duty (on duty / off duty) | Whether you are available right now — also shown as checked in or checked out on the Users page |
| Shift | A scheduled work window with a roster of people assigned to it |
Being on a shift roster does not automatically mean you are on duty until the shift window starts (or you manually start duty). Duty status controls whether you receive web push alert notifications.
On duty and off duty
What it means
- On duty — you are available to respond. The system treats you as checked in.
- Off duty — you are not available. The system treats you as checked out.
On the Users page, the same status appears as Checked in / Checked out (or In / Out on mobile). When assigning alerts, on-duty users are shown with a filled indicator; off-duty users with a hollow one. Assigning to someone off duty shows a warning: Warning: This user is currently off duty.
Workers can also decline an assignment with the reason I'm off duty.
Starting and ending duty manually
The main control is on the Dashboard:
- A card at the top shows On duty (green) or Off duty (red)
- Tap Start duty to check in, or End duty to check out
- After your first check-in, the card shows when you were last marked on or off duty
On mobile, if you have been off duty for more than five minutes, a banner appears: Are you on duty? with a Start duty button.
Read-only users do not see the check-in card or mobile duty banner.
How duty affects notifications
On duty controls web push notifications — browser and mobile push alerts for escalations and urgent nudges are only delivered when you are on duty. If you are off duty, push notifications are not sent to you.
| Channel | Affected by duty? |
|---|---|
| Web push (browser / PWA) | Yes — only delivered when on duty |
| Tasks (in-app inbox) | No — tasks still appear when off duty |
| No |
If you need to receive urgent alert pushes during your working hours, make sure you are on duty. End duty when you finish for the day so you are not disturbed by push notifications out of hours.
You can still open the app and work alerts at any time regardless of duty status.
Shifts
A shift is a recurring scheduled work period — for example a night shift every weekday from 18:00 to 06:00 in a particular zone.
Each shift has:
- A name and optional description
- A duration and recurrence pattern
- An optional site zone (or Global for site-wide coverage)
- A timezone
- Assignees — the people rostered on that shift
- Active or Inactive status
Shifts can also be configured with:
- Auto-assign — automatically route new alerts to users with a chosen role during the shift window
- Reminders — notify supervisors before the shift starts so they can review the roster
Automatic check-in from shifts
When you are assigned to an active shift, Quantavist can keep your duty status aligned with the schedule:
- When a shift window starts — rostered users are automatically checked on duty
- When a shift window ends — users are automatically checked off duty if they are outside all their assigned shift windows
This runs continuously in the background, so people on a roster do not need to tap Start duty at exactly the right moment — though they still can.
Manual override
If you manually tap Start duty or End duty, that choice is respected until the next shift boundary:
- Manually on duty during a shift → stays on duty until that shift block ends
- Manually off duty outside a shift → stays off duty until the next shift starts
After the boundary, automatic duty changes apply again.
Managing shifts
Shifts are managed from the Dashboard and the Shifts page (/shifts). You need permission to manage shifts.
Dashboard
If you can manage shifts, the dashboard shows a Shifts section below the check-in card:
- Subtitle: View and manage shift assignees
- Shifts grouped by site zone (or Global)
- Each card shows the shift name, assignees, and Edit
Use this for a quick view of who is rostered and to open assignment management.
Shifts page
The full Shift management view lists all shifts as cards grouped by zone. Each card shows:
- Shift name and Active / Inactive status
- Duration and Recurrence
- Auto-assign status (on/off and which role)
- Assignees count — tap Assign users or Edit to manage
From here you can:
- Edit a shift — change name, schedule, zone, auto-assign, reminders, and status
- Duplicate an existing shift to create a new one
- Delete a shift
Adding and removing people
Open Manage assignments from a shift card (via Edit, Assign users, or the assignee row):
- Search and filter users by name, role, or location
- Toggle All, On this shift, or Not on this shift to find people quickly
- Select or deselect users
- Save with Save assignments
Removing someone from the selection and saving takes them off that shift roster. Users already on duty may show a Checked in badge in the picker.
Some users cannot be assigned to shifts — for example read-only accounts show Cannot be assigned to shifts.
You can also ask Ask Quantavist to add or remove a named person from a shift. Those changes need your approval before they run, and you still need permission to manage shifts.
Monitoring your team
HSE managers can see duty status across the team on the Users page:
- Each user shows Checked in [time ago] or Checked out [time ago]
- Role headers show a count such as [3/8 checked in]
Use this alongside shift rosters to confirm coverage — the roster shows who should be working; duty status shows who is available now.
How duty and shifts fit together
Shift created → people assigned to roster
↓
Shift window starts → auto check-in (on duty)

Web push notifications delivered

Manual Start/End duty overrides until next boundary
↓
Shift window ends → auto check-out (off duty)| Question | Answer |
|---|---|
| Who should be working now? | Check the shift roster |
| Who is available for alerts right now? | Check duty status (on/off duty) |
| Why did someone not get a push? | They may be off duty |
| How do I stop push notifications overnight? | End duty when you finish |
